Terms of Service

Last updated: 8/25/2025

Welcome to the COHS Help Desk Portal ("Service"). These Terms of Service ("Terms") govern your use of our help desk application and services provided by our institution for students and staff. By accessing or using our Service, you agree to be bound by these Terms.

1. Acceptance of Terms

By creating an account, submitting a ticket, or otherwise using this Service, you accept and agree to be bound by the terms and provisions of this agreement. If you do not agree to these Terms, you must not access or use the Service.

2. Account Registration and Security

To use the COHS Help Desk Portal, you must register for an account, which is managed through our third-party authentication provider, Clerk. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You agree to notify the IT department immediately of any unauthorized use of your account.

3. User Conduct and Responsibilities

You agree to use the Service only for its intended purpose: to submit, track, and manage legitimate technical support requests. You agree not to:

  • Submit false, misleading, abusive, or malicious information.
  • Attempt to gain unauthorized access to other users' tickets or administrative dashboards.
  • Use the service to distribute spam or other unsolicited messages.
  • Interfere with or disrupt the integrity or performance of the Service or the data contained therein, which is managed by our real-time database provider, Convex.

4. User-Generated Content

When you submit a support ticket, you provide a title and description of the issue ("User Content"). You retain ownership of your User Content, but you grant the institution a worldwide, non-exclusive, royalty-free license to use, reproduce, and modify that content for the sole purpose of diagnosing and resolving your support request.

5. Disclaimer of Warranties

The COHS Help Desk Portal is provided on an 'as is' and 'as available' basis. We make no warranties, expressed or implied, regarding the Service's reliability, availability, or fitness for a particular purpose. While we strive to provide a reliable service, we do not guarantee that it will be uninterrupted or error-free.

6. Termination

We reserve the right to suspend or terminate your access to the Service at any time, without notice, for conduct that we believe violates these Terms or is otherwise harmful to other users of the Service, the institution, or third parties.

7. Contact Information

If you have any questions about these Terms of Service, please contact the IT department through the help desk portal or via email at support@cohshelpdesk.com.
